Ninepi Corporation (the “Company”) sets out below how it handles user information in the mobile application “ninepi GYMemo” (the “App”).
This policy applies to the regular features of ninepi GYMemo, its rankings feature, and the optional AI feature “GYMemo PRO.”
1. Basic Policy
Detailed workout records entered or created in the App are generally stored on the user’s device.
Participation in rankings is optional and is OFF by default. Only when a user reviews the information to be sent and the disclosure scope, consents, and turns participation ON does the App send the information described in Section 3 to the ranking server.
Use of GYMemo PRO AI is also optional and is OFF by default. The information described in Section 4 is sent only when the user turns AI on in Settings and consents to the transmission of AI data.
The App Store or Google Play is used, depending on the device, to check for App updates and process purchases.
2. Information Handled on the Device
The App handles the following information on the user’s device:
- Workout records (dates, exercises, weights, repetitions, duration, and similar details)
- Information voluntarily entered by the user (nickname, date of birth, sex, weight, height, and similar details)
- App settings (weight units, start of week, ranking participation, consent to AI data transmission, and similar settings)
- Exercises created by the user
- Purchase status and information needed to verify that status
- App version and information needed to check for updates
- Ranking participant ID and information needed to authenticate ranking submissions (ranking participants only)
Detailed workout records, free-text notes, height, weight, and the date of birth itself are not sent to the ranking server. See Section 4 for information sent by GYMemo PRO AI.
3. Information Handled by the Rankings Feature
3.1 Information Sent and Stored
While ranking participation is ON, the following information is sent to and stored on the ranking server:
- A randomly generated ranking participant ID
- A display nickname
- An age group calculated on the device from the date of birth
- Sex category (optional, including “prefer not to say”)
- Ranking participation status
- Workout date
- Exercise ID
- Daily totals for each exercise (total weight, set count, repetition count, and maximum weight)
- Creation and update times and flags for excluding invalid values
- Information needed to authenticate submissions
The App does not send names, dates of birth, email addresses, free-text notes, the weight-and-repetition combination for each set, or the exact workout time. Do not use a real name or contact details as a nickname if you do not want them disclosed.
3.2 Purposes of Use
The Company uses this information to:
- Calculate, display, and filter rankings
- Display a user’s own ranking
- Manage ranking participation settings
- Prevent fraudulent registrations, updates, deletions, and abnormal values
- Investigate failures and operate the rankings feature reliably
3.3 Information Displayed to Other Users
The rankings may display a partially masked nickname, rank and ranking totals, age group, and sex category. The participant ID, authentication information, workout dates, and information used to prevent abuse are not displayed. Filtering by age group or sex category may allow other users to infer the category to which a participant belongs.
3.4 Stopping Participation and Deleting Data
Users can stop ranking participation at any time in Settings. This stops subsequent transmission of ranking data and its display in rankings, but does not immediately delete information already stored on the server.
To delete stored ranking data, use “Delete Ranking Data” in Settings. This deletes the ranking profile and daily ranking totals. To participate again after deletion, the user must consent and register again.
4. Information Handled by GYMemo PRO AI
4.1 Information Sent and Recipients
After the user is informed on the consent screen and agrees, the App sends our server the information needed to create a response and device-registration information needed to verify entitlement to use the service (authentication information). Our server sends only the information needed to create the response to OpenAI, the AI service provider in the United States. Device-registration authentication information, ranking IDs, and purchase status are not sent to OpenAI.
Information sent may include current and past workout records (such as exercise names, weights, and repetitions), the selected training goal, answers in the workout reflection (effort, pain or discomfort, and optional notes), previous AI feedback, and sex, age, height, or weight if configured. Age is calculated from the date of birth; the date of birth itself is not sent. This information may include information about health or physical condition. Fields not entered are not sent.
4.2 Purpose of Use
This information is used to generate and provide AI training feedback. We record the time of consent and the version of the text accepted. AI responses are reference information and are not a substitute for diagnosis or treatment by a doctor or other professional advice. Do not enter personal or sensitive information beyond what is necessary.
OpenAI handles information in accordance with its Terms of Use and Privacy Policy.
4.3 Trial and Subscription
AI Trainer can be tried free for 30 days from installation, up to 10 times in total and no more than twice a day. After the trial, it can be used up to the limit set for each PRO billing period. Users can subscribe to PRO directly from Free; buying Standard first is not required. Manage or cancel the subscription in the App Store or Google Play subscription settings. Conditions may change. Check the App for the latest conditions.
4.4 Retention and Deletion
To prevent duplicate processing caused by interrupted communications, AI request data and response copies on our server are kept for no more than 30 days after creation and then deleted. They may be temporarily included in backups for disaster recovery; those backups are deleted within 30 days after creation. Previous AI feedback can be viewed in the App as device-stored records.
Use “Delete AI Data” in the App’s Settings to delete AI data on our server and AI feedback stored on this device. Deletion cannot be undone. To prevent a deleted request from being recreated, we may retain for up to 30 days a minimal record that cannot reconstruct its contents. Records needed for purchases, accounting, security, or audits may be retained for the period necessary for those separate purposes.
If data cannot be deleted in the App, for example after the App has been removed, contact information@ninepi.com.
4.5 Region Eligibility and Access Logs
To determine whether AI Trainer can be offered in a region, our server determines the country from the IP address used for the AI request, using an external IP geolocation database (see “External Data Used” below). This identifies a country, not a precise location. VPNs, proxies, and carrier routing may prevent a determination or result in a country different from the user’s actual location. AI Trainer may be unavailable if the country cannot be determined or is outside the supported area.
The AI usage record does not store the IP address itself. Server access logs do include IP addresses and are kept for 30 days for security and troubleshooting.

5. Communications, Security, and Access Information
The App communicates for the following purposes:
- Ranking registration, synchronization, display, stopping participation, and deletion
- Generating GYMemo PRO AI feedback, including sending information to OpenAI
- Checking for App updates through the App Store or Google Play
- Purchases, purchase-status checks, and restoration through the App Store or Google Play
- Early detection of defects: If an unexpected defect occurs, Google Firebase Crashlytics collects information such as the error and its location, device model, OS version, App version, time of occurrence, and identifiers generated by Crashlytics for issue tracking. The Company does not send names, email addresses or other personal information, workout-record contents, AI prompts, or purchase information to Crashlytics. Google manages deletion of crash data after 90 days; individual deletion requests are not accepted. Google (Firebase) processes these data on the Company’s behalf.
The ranking server handles IP addresses, requested resources, and request counts by time period to prevent unauthorized access or excessive requests, investigate failures, and operate securely. Rate-limiting information has no fixed automatic deletion deadline and is deleted when no longer needed for operations.
For Free, no ads are displayed during the first 30 days after installation. From day 31, ads are displayed through Google Mobile Ads SDK (AdMob). If the App confirms a Standard or PRO purchase, it does not request ads. It also does not request ads when purchase status or ad-consent status cannot be confirmed.
For ad delivery, Google and participating advertising providers may handle device identifiers such as the advertising ID, IP address, ad display or interaction information, and device or diagnostic information. The Company requests non-personalized ads, but this does not prevent all processing by the advertising SDK. Where regional consent is required, consent is checked before ads are requested. Users can change their consent through the App’s ad privacy settings.
The App retrieves ad-display settings and in-app notices from our server. It does not send information that identifies the user. Whether to display a notice is decided on the device. The IP address associated with this communication is recorded in access logs for 30 days for security and troubleshooting. Rest-timer notifications are scheduled on the device; their contents are not sent to our server.
6. App Store and Google Play
In connection with App Store or Google Play processes, Apple or Google may handle information about the user’s account, device, network, purchases, and payments. The Company may also see transaction information through the store’s management console, such as order or transaction identifiers, purchased items, purchase dates, purchase status, prices, and country or region.
Apple’s and Google’s handling of information is governed by the Apple Privacy Policy and Google Privacy Policy, and other store terms and policies. Payment details themselves are managed by the relevant store and are not stored on the Company’s ranking server.
7. Device Backups and Device Features
| Feature | Purpose |
|---|---|
| Internet connection | Rankings; GYMemo PRO AI; retrieval of ad-display settings and in-app notices; update checks; purchase processing, status checks, and restoration; and early detection of defects (crash reports) |
| File save and selection | Exporting and importing record files at the user’s direction |
The user chooses where to save exported files. They may contain workout records and information entered by the user. Keep them somewhere others cannot access and delete them when no longer needed.
Files may also contain a ranking participant ID, participation status, and ranking authentication information. Importing a file created while participating restores participation status and authentication information, which are used for later ranking synchronization.
A third party who obtains the authentication information may alter or delete ranking information. Do not share exported files with others; keep them in a safe place.
8. Retention and Deletion
Records on the device remain until the user deletes them in the App or uninstalls the App. Exported files, device or OS backups, and purchase histories managed by App Store or Google Play may remain after uninstalling.
Ranking participation information and daily ranking totals are retained until the user deletes ranking data or the Company deletes them after the rankings feature ends. Turning participation OFF alone does not delete stored information.
Crash data collected by Crashlytics is deleted under Firebase’s management after 90 days. Users cannot request deletion of individual crash data.
The Company does not provide long-term or automatically updated backups of detailed workout records. When you initiate Switching phones, encrypted records are held temporarily; once received, or after 24 hours, they can no longer be received and are deleted from regular storage (they may remain in maintenance backups for a limited time). With Standard or an active PRO subscription, choose Create a device backup and store the file safely for everyday protection. To import the file, choose Restore from a device backup; no purchase is required for import.
9. Disclosure to and Processing by Third Parties
Except where required by law, the Company does not provide user information to third parties beyond the purposes stated in this policy.
The Company may entrust server providers with storage and processing needed for the rankings feature. For GYMemo PRO AI, the Company entrusts OpenAI, L.L.C. (United States) with processing the information described in Section 4.1. For early defect detection, the Company entrusts Google, which provides Firebase Crashlytics, with processing crash data. The Company selects processors appropriately and exercises necessary oversight.
See Section 6 for information processed by App Store or Google Play.
10. Children and Minors
The App has no age restriction, but minors should use it with a parent or guardian’s consent. A parent or guardian’s consent is also required for purchases and ranking participation.
Users can participate in rankings without setting an age group, but may not appear in age-based rankings.
11. Security Measures
The Company takes necessary and appropriate security measures, including access controls, encrypted communications, and protection of authentication information, to prevent unauthorized access, disclosure, alteration, loss, or damage to information it handles.
12. Changes to This Policy
The Company may change this policy in response to laws, App Store or Google Play policies, or changes to App features. For material changes, the Company will announce the changes and their effective date on this page or by an appropriate method in the App.
